Provincial Roles
The Provincial President, having served as Provincial Vice President for a period of two years assumes the role of Provincial President and is responsible for:
- providing leadership and direction to Provincial Executive team alongside Executive Director
- scheduling, chairing and setting agendas for monthly Provincial Executive zoom calls
- providing Branch Presidents with regular updates on Provincial initiatives via email
- providing support to Provincial Executive and Branch Executive teams
- providing mentorship to Provincial Vice President to prepare for President role
- leading conference zoom calls with each Branch Executive team as needed
- providing a Message from the President in provincial eNewsletters
- appointing provincial committee chairs as required
- representing BC Hydro Power Pioneers as required
The Vice President is elected by the Provincial Presidents/Directors and is responsible for:
- assisting the Provincial President in all responsibilities
- acting on the Provincial President’s behalf in their absence
The Past President assumes role after serving two years a Provincial President and is responsible for:
- continuing to act in an advisory capacity to the Provincial Executive
- chairing Executive meetings if the President and Vice President are not available
- assisting President and Vice-President as required
The Secretary is appointed by the Executive Director and Provincial Executive and is responsible for:
- managing all Provincial financial transactions together with the Executive Director with oversight of the Provincial Finance Committee
- receiving all incoming Provincial revenues
- arranging payment on receipt of invoices and expense submissions
- acting as signing officer of all cheques relating to provincial expenses
- preparing and delivering a report of the financial status of the Association to the Provincial Executive and Directors at AGM
- preparing support documentation for annual Power Pioneers CRA filing and liability insurance
- assisting the Executive Director in preparation and monitoring of an annual budget
The Membership Chair is appointed by the Executive Director and Provincial Executive and is responsible for:
- managing Provincial membership database together with the Executive Director
- overseeing provincial membership and providing support to Branch Membership Managers
- providing membership status reports to Provincial Executive, Branch Membership Managers as needed and at the AGM
- preparing address files for Provincial outreach mailouts
The Executive Assistant is appointed by the Executive Director and Provincial Executive and is responsible for:
- supporting the Provincial Executive by taking notes for monthly Provincial Executive zoom calls and at the AGM
- supporting the Provincial Executive by taking notes for zoom calls with Branch Executives or Jamboree team as needed
The Communications Chair is appointed by the Executive Director and Provincial Executive and is responsible for:
- working with Executive Director to create provincial eNewsletters and other provincial communications as required
- providing training and support to Branch Publicity Managers in creation of Branch eNewsletters and other communications
- attending Provincial Executive meetings and the AGM
The Committee Chairs are appointed by the Executive Director and Provincial Executive and are responsible for:
- developing a mandate; presenting progress reports and recommendations to the Provincial Executive
- recruiting suitable volunteers to participate as members of the committee
- creating awareness, recognition and promotion of the project or activity within the Branches, the Provincial Association and local communities as appropriate
- creating and following budget guidelines in conjunction with the Provincial Executive
The Aquariums Provincial Chair is responsible for:
- coordinating a team of Power Pioneer volunteers and assisting with recruitment of new volunteers as needed
- preparing and communicating a schedule of aquarium maintenance visits to team
- coordinating with our partner Something Fishy Aquariums
- providing updates to Provincial Executive
- attending AGM as required
The BC Hydro Spring Hockey Tournament Chair is responsible for:
- forming a committee of volunteers to assist with various tasks at the tournament for sale of 50/50 tickets to raise funds for BC Children’s Hospital
- providing updates to Provincial Executive
- attending AGM as required
The Safety Rodeo Chair is responsible for:
- chairing the Lower Mainland Safety Rodeo
- assisting the regional Safety Rodeo Chair as needed
- working with BCH Safety Rodeo Committee ensuring Power Pioneer volunteer roles and responsibilities are appropriate
- forming a committee of Power Pioneer volunteers to assist BCH with various tasks at rodeo including staffing of identified booths and selling 50 50 tickets for BC Children’s Hospital
- communicating information and updates to all parties including BCH Safety Rodeo Committee, Provincial executive and volunteer committee
- attending AGM as required
The Caring Crafts Chair is responsible for:
- working with Caring Crafts Branch Committee Chairs to determine what items are needed for donation to BC Children’s Hospital and local charities
- collecting handcrafted items for donation
- providing updates to Provincial Executive
- attending AGM as required
The Volunteer Hours Program Chair is responsible for (this role is carried out by the Executive Director, Provincial Membership Chair and Sectary Treasurer):
- maintaining contact and providing updates with the Branch Volunteer Hours Coordinators regarding updates to the Volunteer Hours program
- promoting tracking of Volunteer Hours to members during the year
- arranging for Volunteer Hours survey to be distributed and carried out each year
- arranging for payments to Branches relating to survey results
- carrying out provincial draw winner from participants
The History and Archives Provincial Chair is responsible for:
- supporting the collection of historical photos, memorabilia and artefacts and working with the Executive Director and Provincial Executive to ensure proper storage locations are secured (Jingle Pot Museum, BC Hydro Archives and Stave Falls Museum) and to refer historical enquiries from the public to BC Hydro
- supporting the preservation of our Power Pioneers Provincial Association and Branch activities by connecting with the Branches and Provincial Communications team
- supporting Power Pioneer book projects and the related Editorial Team for the preservation of BC Hydro and province of B.C. electrical history through the writing of books and website materials
- providing updates to Provincial Executive
- attending AGM as required
The Jamboree Chair is responsible for:
- working with Provincial Executive to identify future opportunities for Jamborees at the Provincial and Branch levels
- assisting and coordinating with Provincial and Branch hosts of future Jamborees
- liaising between Branch Jamboree Committees and Provincial Executive
- providing updates to the Provincial Executive
- providing updates to the Communications Chair for eNewsletter information to members
- attending AGM as required
The Small Is Mighty Chair is responsible for:
- recruiting a Provincial team to carry out the annual SIM Campaign for BCCH
- implementing annual SIM Campaign for the month of May
- working with the Provincial team, ensuring campaign plans are in place
- preparing email communications for BC Hydro, Power Pioneers and Branches and Hydro employee volunteers throughout the campaign
- ensuring campaign updates are provided for the Provincial Executive and Branches via eNewsletters and BC Hydro Updates as appropriate
- attending AGM as required
The PPCC Representatives are responsible for:
- carrying out an advisory role on the BC Hydro Pension Plan Consultative Committee (two roles representing Power Pioneers and Hydro retirees)
- representing Power Pioneers at BCH PPCC meetings in person or zoom calls
- providing Power Pioneers feedback to PPCC
- providing updates to Provincial Executive
- attending AGM as required
The Youth Award Provincial Chair is responsible for:
- coordinating with Provincial Heritage and Science Fair organizers for updates and events logistics in advance of season (January to June)
- communicating updates and information with all parties including Branch Committee Chairs and Provincial Executive
- receiving and reviewing all Community Service award applications for distribution to appropriate Branch committee chairs
- providing the Communications Chair with information for Provincial and Branch eNewsletters
- attending AGM as required
Branch Roles
The President/Provincial Director is elected by the membership and is responsible for:
- providing leadership and direction to the Branch with support of the Branch Executive
- preparing, in conjunction with the Treasurer and Branch Executive, an annual budget
- appointing Committee and Project Chairs
- chairing executive and luncheon meetings
- having joint signing authority with the Treasurer and Vice President in all financial matters of the Branch
- Ensuring all Branch records are maintained in conjunction with the Branch Secretary
- the role of the President is assumed for a two-year term with an election each year
- acting as representative/Director of the Branch with the Provincial Power Pioneers Association
- attending the Annual General meeting of the Provincial Association
The Vice President is elected by the membership and is responsible for:
- assisting the President in all responsibilities
- acting on the President’s behalf in their absence
The Secretary is elected by the membership and is responsible for:
- attending Branch Executive and luncheon meetings
- taking minutes of the meetings
- distributing minutes to the Branch Executive
- maintaining an historic file of all Branch minutes and correspondence
The Treasurer is elected by the membership and is responsible for:
- receiving all incoming funds for the Branch
- issuing cheques on receipt of invoices and expenses against the Branch
- having joint signing authority, in conjunction with the President and Vice President, of all cheques relating to Branch business
- preparing a monthly financial report for the Branch Executive
- assisting the President in preparation and monitoring of an annual budget
- maintaining an accurate record of all receipts and disbursements of the Branch
- preparing an annual financial report for the Provincial Power Pioneers Association
The Past President assumes their position and is responsible for:
- continuing to act in an advisory capacity to the Branch Executive
The Leadership Team is an alternative to the traditional model, is elected by the membership and is responsible for:
- fulfilling the roles of President, Vice-President and Past President; for example, two or more members sharing the roles and responsibilities of Branch President, Vice-President and Past President
- ensuring one of the Leadership Team members assumes the role of President/Director for a one-year term
- providing backup for each other and rotating in the roles as agreed to by the Leadership Team
The Committee Chairs are a member of the Branch Executive Committee and responsible for:
- assisting in developing a mandate for the committee in consultation with the Branch Executive
- recruiting suitable volunteers to participate as members of the committee
- presenting periodic progress reports, including budget updates to the Branch Executive
- preparing information and updates for communication to members via the Branch Publicity Manager
- these roles will vary Branch to Branch and interested volunteers should contact the Branch President for more information
The Bowling Committee is responsible for:
- confirming dates and times with the bowling alley
- planning the bowling activities for the season
- providing update reports at Branch Executive meetings
The Care Committee is responsible for:
- receiving notice of ill or deceased members
- sending appropriate sympathy cards to ill members or family of deceased members
- arranging for hospital or home visits where possible and when appropriate
- providing member status reports at Branch Executive meetings
The Caring Crafts Committee is responsible for:
- working with Provincial Caring Crafts Chair and Branch Committee to determine what items are needed for donation to charities for Provincial projects and local Branch initiatives
- coordinating with Branch volunteers to collect handcrafted items for donation to BC Children’s Hospital and local charities
- providing update reports to Branch Executive on current activities and expected needs
- providing an annual report to the Provincial Caring Crafts Chair
The Volunteer Hours Coordinator is responsible for:
- promoting the value and benefit of tracking Volunteer Hours to Branch members during the year
- encouraging Branch members to complete the annual Volunteer Hours survey
- receiving a summary of the Branch Volunteer Hours submissions from the Provincial Association and reporting this information to the Branch Executive
- providing annual volunteer hours summary and funds received for Branch donations to the Branch Executive
The Community Service Award Committee is responsible for:
- organizing a selection committee consisting of at least two to three members depending on the number of applications to judge
- reviewing the candidate submissions in accordance with the Power Pioneers Community Service Award criteria
- consulting with another Branch if an award is combined with another area
- informing the Provincial Chair of the recipient by due date so that the appropriate presentation package can be prepared and emailed
- notifying recipient and arranging for presentation of award and media coverage where possible
- taking photos of recipient or requesting a photo from recipient
- ensuring parent/guardian signs the photo consent form
- notifying Branch Publicity Manager for Branch and Provincial eNewsletters
The Festival of Trees Committee is responsible for:
- working with the Provincial Association to arrange for application and payment to participate in a local tree festival
- organizing a decorating committee, purchasing decorations and working with the Provincial Office to re-use themed decorations that are stored in Vancouver
- arranging for photos for Publicity Manager for Branch and Provincial eNewsletters
- arranging for decorating committee to set-up and take-down tree
The Heritage Fairs Committee is responsible for:
- working with the Provincial office to contact the local Heritage Fair Coordinator to confirm how we can volunteer in a meaningful way at the event, this may include:
- assisting the judging committee, udging projects specific to the Power Pioneers award relating to the history of BC Hydro and predecessor companies, and/or presenting the book part of the award
- attending the Awards Ceremonies to present the Award
- ensuring a picture or pictures are taken of the recipients(s) and presenter
- ensuring parent/guardian signs the photo consent form
- arranging for photos for Publicity Manager for Branch and Provincial eNewsletter
The SIM Committee is responsible for:
- coordinating the annual Campaign for their Branch by working with the Provincial SIM Chair and Committee
- championing the Campaign and communicating key messages and working with the Branch Executive and Publicity Manager
- handling any cash or cheque donations (most donations will be made online by the donor)
- working with the Branch and Provincial SIM Committee in setting up an event if appropriate
- promoting the SIM Gear Store Collection (online store, proceeds to the Campaign)
- assisting members and other potential donors with questions and donations in a timely manner
- liaising with the Provincial SIM Chair as needed
The Literacy Committee is responsible for:
- overseeing the fundraising, collection and storage of donated books from members
- ensuring donated books are appropriate/suitable for donation
- arranging for donations of cash and cheques for books to be deposited by Branch Treasurer
- working with the Branch Executive to arrange for suitable charities or schools to donate books
- keeping a record of funds raised and number of books collected for Branch Executive
The Lunch/Social Committee is responsible for:
- selecting the luncheon meeting location with support and input from Branch Executive
- choosing the menu and confirming costs for the monthly luncheon meetings with input from Branch Executive
- notifying the caterer of the number of members attending the luncheon meetings
- arranging for the sale of 50/50 tickets as needed
- submitting all received monies and itemized expenses with an accounting to the Branch Treasurer
The Christmas luncheon planning includes:
- working with the Branch Executive to plan and carry out the annual Christmas luncheon
- notifying the Provincial Office of full luncheon details for Provincial mail out and eNewsletters to all retirees
- notifying the Outreach/Phone Committee to provide details to the membership if needed
- receiving an invoice from the caterer and forwarding to the Branch Treasurer and Provincial Office for payment
The Membership Manager is responsible for:
- receiving cash and cheque payments for membership dues from renewing or new incoming members
- tracking the membership dues paid online to ensure receipt of payment from Provincial Office
- downloading and monitoring membership reports for upcoming membership renewals and lapsed memberships
- submitting all received monies with an accounting of dues collected to the Branch Treasurer
- notifying Phone Committee chair/ Branch Executive of new members
- ensuring new members are introduced and welcomed at luncheon meetings
The Phone/Outreach Committee is responsible for:
- receiving information from the Branch Executive meetings to be relayed to members via phone calls and emails
- determining the number of members attending each luncheon meeting
- advising the Lunch/Social Committee Chairs on number of attendees for catering
The Photographers are responsible for:
- attending Branch meetings and events to obtain photos for Branch and Provincial eNewsletters for promotion and updates
- downloading or requesting support to download Branch photos to Power Pioneers Photo Archive (Smugmug) in connection with Provincial Power Pioneers
The Program/Events Committee is responsible for:
- determining suitable program presentations or alternative outings and events for the monthly luncheon meetings or other dates as needed
- contacting presenters and arranging for AV, presentation time and date at proposed luncheon meeting
- organizing outings and events as required and providing information to Branch Executive and Publicity Manager for promotion and updates to members
- requesting suggestions from members for program topics, outings and other activities of interest to members
